Talkdesk Voice Platform: Sites

Overview

Sites are the fundamental organizational building block of Talkdesk Voice Platform. Designed for enterprises operating globally or managing multiple business units, Sites centralize all geographic, dialing, and compliance policies, giving Admins control and consistency with minimal overhead.

By default, all users provisioned in Talkdesk Workspace do not belong to a Site. Constructs such as call restrictions, access to dial plans, and extension dialing only apply once a user is assigned to a Site, and their corresponding Telephony settings are configured. 

Admins can create one or more Sites. Every Site acts as a policy container: Once users and devices are assigned, they automatically inherit the Site's geographic standards, calling privileges, and dial plan rules, with the option to override any of these at the individual level where needed.

Note: Establishing Sites is a prerequisite for centrally managing telephony settings across the organization.

Creating a Site

To create a SIte, follow these steps: 

  1. Log in to the Talkdesk account as an Admin.
  2. Navigate to Admin [1] > Sites [2].
  3. Click the Create site [3] button.

  1. Fill in the mandatory fields and click Create.

Note: If the Country is the United States or Canada, the address must be specified in an emergency-calling-compliant format.

 

Configuring General Details

Once a Site is created, mandatory properties must be entered to allow the assignment of users or devices.

  1. Select the General details [1] tab.
  2. Click the Edit [2] button.

  1. Fill out all mandatory fields. 

  1. Enter the “Site Prefix” for intuitive internal dialing.
  2. Select the “Default Outbound Caller ID” from the drop-down menu.
  3. Edit the “Extension auto-assign range” to define the start and end values for extensions automatically assigned to users within this site.
  4. Click Save in the top-right corner.

Note: The Site Prefix must be unique across all Sites.

 

Designating a Default Site

Talkdesk Voice Platform requires every user to be assigned to a Site before they can use capabilities such as extension dialing, call restrictions, and dial plans. The Default Site feature ensures that all new users added to the account are automatically assigned to a Site, eliminating the friction of manual setup during onboarding.

Admins are presented with an alert indicating that a Default Site needs to be configured.

A Default Site can be designated from either the Sites listing page or the Site details page:

Once a Default Site is configured:

  • All new users added to the account are automatically assigned to that Site.
  • All existing users that are not assigned to any site will be automatically assigned to that Site.
  • Admins can reassign users to other Sites at any time.
  • A Default Site cannot be deleted while it is designated as the account's default. To delete it, an Admin must first designate another Site as the Default Site.

 

Managing the Site Hub

Once a Site is created and its mandatory properties are configured, its day-to-day management is handled through five integrated tabs.
 

1. General Details

This tab defines the core identity and geographic standards for users:

  • Geographic Foundation [1]: Sets the country, time zone, and physical address, which are crucial for emergency calling and call classification (e.g., International vs. Long Distance).
  • Default Outbound Caller ID [2]: Defines the number displayed for outbound PSTN calls. Note: This is only applicable if no granular selection is made by users.
  • Site Prefix [3]: The unique prefix (e.g., 436) that enables intuitive inter-site extension dialing.
  • Extension Auto-Assign Range [4]: Defines the start and end range for automatic extension assignment for users associated with the Site.

2. Users

This tab lists all users assigned to the Site. Once assigned, a user inherits all the Site's policies, including the Default Caller ID, Call Restrictions, and access to Dialing Patterns.

Note: A user can only be associated with a single Site at any point in time.

3. Devices

This tab lists all the “Common Area” SIP devices associated with the Site.

4. Call Restrictions

This tab allows Admins to enforce organizational policies on outbound calling privileges. Users and devices assigned to the Site inherit these restrictions immediately.

Restriction Type Function Policy Example
Outbound PSTN Controls the overarching permission for users to place any call that leaves the Talkdesk internal network and routes over the PSTN. If Disabled, all other PSTN call types are prohibited for the Site.
International Governs calls made to numbers located outside the Site's defined country. Enabled: allows agents to reach global contacts.
Long Distance Controls calls that traverse different geographic regions within the Site's own country. Disabled: restricts users to local calling areas only.
Premium Rate Controls dialing to high-cost service numbers (e.g., 900 numbers). Disabled by default to prevent fraud and unexpected charges.
Inter-site Dialing Determines whether users of this Site can place calls to internal extensions belonging to other configured Sites. Enabled for multi-office collaboration.

By default, when a Site is created, no call restrictions apply. All call types are permitted. To enable or disable restrictions:

  1. Navigate to the Call Restrictions tab [1] of the Site.
  2. Click Edit [2].

  1. Enable or disable the relevant restriction types [3].
  2. Click Save [4].

Note: Site-level restrictions can be selectively overridden for specific users or devices that require different calling privileges. See User Telephony Settings and Devices.

5. Patterns

This tab is used to configure the Intelligent Dial Plan for the Site, defining rules for digit translation and specialized call routing. All users and devices assigned to the Site inherit these patterns by default. Pattern access can be overridden at the individual user or device level.

There are two types of Call Patterns:

  • Number Manipulation Patterns: Are applied first to transform dialed digits before the system routes the call. They support Strip, Replace, Prepend, and Append operations.

  • Custom Patterns: Define predetermined routing outcomes for specific dial strings, including blocking calls or deterministic call routing.

Assigning Users in Bulk

As an organization grows, manually assigning users to Sites becomes time-consuming and error-prone. Bulk assignment lets administrators assign multiple users to a Site at once. The system automatically handles extension assignment, call restrictions, and call pattern access, ensuring consistency and reducing administrative overhead.

Prerequisite 

An extension auto-assignment range must be configured for the Site before using this feature. Ensure the defined range is large enough to accommodate the number of users being assigned.

To bulk assign users:

  1. Within the tab “Users”, click on Assign users [1].

  1. Select all the desired users [2] and click Assign users [3].

Note: If the extension auto-assignment range does not contain enough available extensions to cover all users being assigned, the operation will not proceed.

Reassign and Delete Sites

A Site cannot be deleted if it has one or more users or devices assigned to it. Rather than requiring Admins to individually reassign each user and device, the Reassign and Delete capability handles this in a single operation.

Initiating a Reassign and Delete

The operation can be initiated from either the Sites listing page or the Site Details page.

From the Sites listing page:

  1. Locate the Site to be deleted.
  2. Click the hamburger menu for that Site.
  3. Select Reassign and delete site.

From the Site Details page:

  1. Navigate to the specific Site page.
  2. Select the Reassign and delete site option.

Selecting a Reassignment Target

When the operation is selected, Admins must choose to which existing Site the users and/or devices should be reassigned.

Monitoring the Operation

The status of the reassign and delete operation can be monitored by clicking the Site Reassignment management button on the Sites listing page. This will display all active and concluded reassignment tasks.

For tasks that have failed, Admins can attempt to re-run the operation from this tab.
